Why Timecounts sets monthly email limits.

Timecounts provides a monthly allotment of email credits for two-way communication with your volunteers. Automated emails, like confirmations and reminders, are unlimited, so your volunteers will always receive important updates, such as shift changes. On the other hand, general emails are optional and can be adjusted based on your organization’s needs, allowing larger organizations to top up as needed.

We provide a set number of general emails that reset each month based on your subscription plan:

  • Free Plan: 100 emails/month

  • Pro Plan: 2,500 emails/month

Since emails, like document storage, come with a cost, we’ve set reasonable limits to keep our service affordable and sustainable. This helps us offer the Free Plan while keeping the Pro Plan budget-friendly. The Pro Plan’s monthly allotment covers 90% of organizations, especially since essential automated emails (like reminders and confirmations) are unlimited.

These email limits encourage you to focus on sending important, targeted messages to your volunteers rather than using Timecounts as a mass email tool. You can easily top up your email reserve if you need more emails; those credits never expire.


In short, most organizations find that the Pro Plan’s email limits are more than enough. And if you need more, topping up your credits is quick and easy.


Types of emails sent from Timecounts.

In Timecounts, your organization sends two types of emails to volunteers:

Automated Emails (Unlimited on all plans): These essential emails—like application updates, shift reminders, welcome messages, and confirmations—are unlimited. They ensure your volunteers stay informed and engaged.


General Emails (Counts toward your allotment): These include bulk messages like event invites, new messages, shifts available announcements, and replies sent through your Inbox. Pro Plan users receive a generous monthly email allotment, which is enough for most organizations. If you need more, you can top up your email reserve.

Checking your organization's message usage.

To track your email usage, go to the Message Usage section at the top right of your Inbox or navigate to Settings > Billing. You’ll be able to see how many emails you’ve sent and how many credits remain. As you approach your limit, the button will turn red, so you’ll know it’s time to top up.

Topping up your email reserve.

Are you running low on emails? You can purchase additional email blocks, which never expire and roll over each month. Go to Settings > Billing and click the Top Up button to top up.


What happens if I run out of email credits?

If you attempt to send a general message without enough credits, Timecounts will notify you when you click "Send." You can save the message as a draft and top up your email reserve or wait for the next monthly reset to send it.
