How 'Message Usage' Works in Timecounts

Learn how your monthly email limits work and how to top up when needed.

You may have noticed a 'Message Usage' section at the top right of your Inbox view or on the Billings page. This section shows how many general emails you’ve sent this month, the remaining email reserve, and when your message limit will reset. The button turns red as you approach your limit, so you’ll know when it’s time to top up.



Monthly Email Allotments

Timecounts provides a set number of emails for general messages based on your subscription plan. These email credits reset on your Pro Plan renewal date or the signup date for Free Plan users. Note: General emails differ from essential emails like confirmations or reminders, which are unlimited on all plans (explained below).

Free Plan: 100 emails/month
Pro Plan: 2,500 emails/month




What Counts Towards Your Message Allotment?

In Timecounts, your organization sends out two types of emails to volunteers:

  • Automated Emails (Unlimited on all plans):
    These essential emails, such as application updates or scheduled shift reminders, are unlimited. This includes Hub invitations, welcome messages, and confirmation or reminder emails, which ensure volunteers stay informed.

  • General Emails (Counts toward your allotment):
    General emails are bulk messages, such as new messages, event invitations, or replies sent through your Inbox. We provide a generous monthly allotment to support regular communication for Pro Plan customers. Most organizations send fewer than 2,500 general emails a month, and if you need more, you can top up your email reserve.


Why Aren't All Emails Unlimited?

Emails, like document storage, come with a cost for Timecounts. We set a reasonable monthly email limit to keep our Free Plan available and offer an affordable Pro Plan. While Timecounts allows you to send bulk messages, it’s not meant to replace email marketing tools, which are often more expensive. This also encourages sending targeted messages to relevant volunteers rather than blanket emails to everyone in your directory. If you send more emails than your plan allows, simply top up your email reserve.


What Happens If I Run Out of Email Credits?

If you try to send a general message and don’t have enough credits, Timecounts will notify you when you press the "Send" button. You can either save the message as a draft and top up your email reserve or wait for your next monthly reset and send it then.

Topping Up Your Email Reserve

Need more emails? You can purchase additional email blocks, which never expire and carry over from month to month. To top up, go to Settings > Billing and click the Top Up button.
