Inviting volunteers to your Hub

Send email invitations through Timecounts or share your Hub's link to welcome new volunteers.

Before you invite volunteers

Invitation emails are sent to volunteers you've imported into Onboarding and invite them to create a Timecounts account and complete your onboarding process through your Hub.

If you've already imported all the information you need and don't want volunteers to complete your onboarding form again, simply Move to Active instead. This sends your Welcome Email and prompts volunteers to create their Timecounts account the first time they sign in.

To ensure everything goes smoothly, make sure your Hub is published, your sending address has been verified, and you've selected the invitation email you'd like to use in Settings → Onboarding.

Create a custom invite

By default, Timecounts includes a simple invitation email that works well for most organizations. If you'd like to personalize the message volunteers receive, you can create your own invitation template.


Go to Settings → Email Templates and create a new invitation email or edit an existing one. Every invitation email automatically includes a button linking volunteers directly to your Hub, so there's no need to add the link yourself.

Once you're happy with your message, go to Settings → Onboarding, scroll down to Onboarding Invite and select your template from the dropdown, and press Save.


Send an Onboarding Invite

Once your volunteers have been imported into the Imported view of Directory → Onboarding, you're ready to send an Onboarding Invite.

Click Invite beside an individual volunteer, or select one or more volunteers using the checkboxes and click Invite in the toolbar to send invitations in bulk.


After you click Invite, you'll be asked to confirm before the invitations are sent. Timecounts will then send your selected Onboarding Invite to each volunteer, and they'll be moved to the Invited view so you can track who has already been invited.


Note: Large batches of invitations are sent gradually to help improve email deliverability.
