Managing volunteers without an email address

Add volunteers who don't have an email address to your Directory, assign them to opportunities, and update their profile later if they provide one.

Why add a volunteer without an email?

Some organizations work with volunteers who don't have an email address or won't be using Timecounts directly. In these cases, you can still add volunteers to your Directory, assign them to opportunities, and track their participation.

Adding a volunteer without an email address creates a profile in your Directory, but it does not create a volunteer account. Volunteers added using a placeholder email address cannot sign in to Timecounts, receive emails, complete onboarding, or sign themselves up for opportunities online.

If a volunteer would like to access their own account or manage their own participation in Timecounts, they must have a valid email address.


When a volunteer is added using a placeholder email address ending in @noemail.com, Timecounts recognizes that the volunteer does not have a valid email address and will not send emails to that profile.

Adding a volunteer without an email address

To add a volunteer without an email address, click Add Volunteer from the Directory and add the volunteer individually or through an import.

Instead of entering a real email address, use a unique placeholder email address ending in @noemail.com, such as [email protected]. Each volunteer must have a unique placeholder email address.


If you're importing volunteers, you'll need to visit the Imported view and select Move to Active once the import is complete.

After the volunteer has been added to the Directory, you can assign them to shifts, events, applications, and onboarding processes, as well as track their volunteer hours.



Updating a volunteer's email address

If a volunteer later provides an email address, open their profile and replace the placeholder email address with their valid email address.

Once updated, the volunteer can create a Timecounts account using that same email address. When they verify their account, Timecounts will automatically connect their new account to the existing volunteer profile in your Directory.

After their account has been verified, the volunteer can sign in, receive emails, complete onboarding tasks, and sign up for opportunities online.
