Filter volunteers using custom profile fields

Enable profile fields as filters in the Directory to quickly find the volunteers you need.

What are filterable profile fields?

Filterable profile fields let you narrow down volunteers in the Directory using the information stored in their profiles. This information may have been imported, collected through a form, or added or updated manually by an admin.

For example, you could quickly find volunteers who:

  • Speak Spanish

  • Have first aid certification

  • Are interested in fundraising

  • Need a medium t-shirt

Instead of scrolling through your entire volunteer list, you can quickly find volunteers who match specific criteria.



Choosing the right profile fields

Not every profile field needs to be filterable. Profile fields work best as filters when volunteers are likely to share the same answers. Information that's unique to each volunteer, such as emergency contact details is generally not useful for filtering. To make this easier, Timecounts only displays the Filterable option for profile field types that are suitable for filtering.

Enable filtering

Go to Settings > Profile Fields and check the Filterable box next to the profile field you want to use as a filter. The field will immediately become available in the Directory.

Only enable filtering for profile fields you plan to use. This helps keep your list of available filters organized and easy to navigate.

How to filter volunteers in the Directory

Open the Directory and click the Filter icon. Choose a profile field from the dropdown options and set the criteria you want to use. You can combine multiple criteria to narrow down your list and quickly find the volunteers you need.


Filtering choice fields
Profile fields with predefined options appear as a dropdown. Simply select the value you want to filter by, then choose is or is not to include or exclude volunteers with that answer. This applies to profile field types such as Multiple Choice, Dropdown, and Checkboxes.

Filtering text fields

Short Text and Long Text profile fields use a text search instead of a dropdown. Enter the text you want to search for, then choose contains or does not contain to include or exclude matching answers. For example, searching for annex with contains will match responses such as Annex, The Annex, or Annex Village. Selecting does not contain will exclude those responses from your results. This type of filter works well for profile fields where volunteers enter free-form text rather than selecting from a predefined list.

Filtering agreement fields

Agreement fields let you filter volunteers based on whether they agreed to a document, such as a waiver, code of conduct, or other required agreement.

Choose Agreed or Not Agreed, then optionally narrow your results by the date the agreement was accepted. You can filter for agreements accepted on, between, before, or after a specific date. This is useful for finding volunteers who have accepted the latest agreement or identifying volunteers who still need to complete a required document.
