Filtering volunteers in the directory

Learn how to filter volunteers, combine multiple filters, and save searches for quick access.

This feature is available on all plans. The Free and Grow plans include core filter options, while the Pro plan provides access to all filter options.

What are filters?

Filters help you quickly find the right volunteers based on the criteria that matter to you. Instead of searching through the entire Directory, you can filter volunteers by status, tags, skills, location, hours, custom fields, and more.


Filters are available in the Active view of the Directory and can be combined to create more specific searches. As your program grows, filters make it easy to manage a larger directory and quickly find the right volunteers whenever you need them.


Once you've found the right list, you can send targeted messages, add tags, export volunteer data, or save your search to use again later.

Applying a filter

To access filters, go to Directory > Active view. Click the Filter icon to open the available filter options.

Select the filter you want to use from the dropdown.

Depending on the filter, you may need to select options from a dropdown or enter values such as a date range or number. Once you've finished, click Done.

Your Directory will immediately update to show only the volunteers who match your criteria. If you need to make changes, simply click a filter to open it again. The number beside the Filter icon shows how many filters are currently applied.


Adding additional filters

You can combine multiple filters to narrow your results even further. After creating your first filter, click Add Filter to add another. Each new filter will appear beside the previous one, where you can choose your criteria and click Done to apply it.


Between each filter, you'll see an AND or OR option. This determines how your filters work together.

  • AND means volunteers must match all of the filters.

  • OR means volunteers only need to match one of the filters.

For example, if you filter by two tags, AND will only show volunteers who have both tags, while OR will show volunteers who have either tag.

Fixing an incomplete filter

If a filter appears in red with a Missing value message, it means the filter isn't complete. Some filters require more than one value, such as a date range, a number, or a selection from a dropdown.

Click the filter to open it again, complete the remaining fields, and then click Done.

Removing a filter

To remove a single filter, hover over it and click the X icon.

Clearing all filters

To return to your full Directory, click Clear All below the filters. This removes all applied filters.

Saving a filtered search

If you regularly use the same filters, you can save them as a saved search to quickly access them again later. Saved searches always use your latest volunteer data, so you don't need to recreate the filters each time.

Tip: Saved searches are also available when selecting recipients for messages, making it easy to send targeted communications to the same group of volunteers.


To save a search, apply your filters and click Save.

Enter a name for your search and click Save again.

To access your saved searches, click the heart and magnifying glass icon beside the Filter icon in the Directory. This will open a card to the right listing all your saved searches.


Click on the name of a saved search to apply it, or hover over it and click the trash icon to delete it. You can create as many saved searches as you need.

Any admin on your team can access saved searches, making it easy to reuse common views for messaging, reporting, and other routine tasks. After applying a filter, select volunteers using the checkboxes beside their names or the Select All checkbox to perform bulk actions.
