These filters are available on the Pro Plan. (Milestones are coming soon.)
Why use Requirements and Milestones filters?
Checklist keeps each volunteer’s progress in one place. Filters bring together the people who have completed a requirement, need to renew, or have reached a milestone, without opening every profile.
Combine these with other Directory filters to build the right audience for an email, plan recognition, or prepare a report for leadership. Everyone works from the same records, making it easier to share the work and follow through.
New to Checklist? See Understanding Requirements and Milestones for how the two work together.
Filter volunteers by requirement status
Go to the Directory, open the Filter menu, and select Requirements. Pick the requirement to review and its status, then select Done. The results show volunteers who match that requirement and status.
Status | Who appears |
Completed | Volunteers who have completed the requirement and it hasn’t expired. |
Not Completed | Volunteers whose requirement is unchecked. |
In Renewal Period | Volunteers whose requirement is approaching expiry and is within its reminder period. |
Overdue | Volunteers whose requirement has passed its expiry date. |
Use Not Completed to find people who still need to finish orientation, or In Renewal Period to see who may need help renewing a certification. Not every requirement applies to every volunteer, so narrow the list to the relevant group before following up on unchecked items.
Filter volunteers by milestone achievement
In the Directory, open the Filter menu and select Milestones. Use is to find volunteers who have reached the milestone, or is not to find those who haven’t. Pick the milestone, then select Done.
For example, select is and a volunteer anniversary milestone to build a thank-you list. The filter includes achievements recorded automatically or awarded by an admin.
Narrow the results with other filters
Select Add Filter to combine Requirements or Milestones with other Directory filters, such as tags, groups, or credited hours. For example, combine a group filter with the First Aid requirement set to In Renewal Period to see whose certification needs renewing in one program.
Check the Directory tab too. If you’re looking for new volunteers who haven’t completed onboarding, start in Onboarding. If you’re reviewing renewals for current volunteers, start in Active.
If this is a list the team will use regularly, select Save above the results, give the search a name, then select Save. Open it from Saved when you need to use those filters again.
Send a targeted email
Select the volunteers to contact from the filtered results, then use Message to send an email. Tailor it to what that group needs, such as renewal instructions, an invitation to training, or a thank-you for an achievement. For a follow-up, include the next step and who to contact if they need help.
Create reports for stakeholders or leadership
Use filtered lists to answer questions about the volunteer program, such as how many volunteers in a program have completed orientation, whose certifications need renewing, or who has reached a recognition milestone.
From the filtered results, select the volunteers to include and choose Export. Pick the fields needed for the report, then export the list. For regular updates, use the same filters and Directory tab each time, and include the report date to make progress easier to compare.
Review and update volunteer records
Select a volunteer’s name to open their profile card, then go to Checklist to review or update their record. You can also select volunteers in the results to apply tags or use other available bulk actions.
Tip: Set aside time each week to review In Renewal Period and Overdue. This gives the team time to help with upcoming renewals and follow up on anything outstanding. For larger programs, the filtered Directory can be easier to work through than individual dashboard reminders.
Check unexpected filter results
Why isn’t a volunteer in the results?
Check the Directory tab, selected requirement or milestone, and any other filters applied. Open the volunteer’s profile card to check their Checklist record. If another admin has updated it, the volunteer may no longer match the status you’re viewing.
Why isn’t a requirement showing as In Renewal Period?
A requirement needs to be marked complete and have an expiry date before it can enter its renewal period. An unchecked item appears under Not Completed instead. If it’s complete, check the expiry date on the profile and the reminder timing in Settings → Checklist → Requirements.
