Customizing application emails

Learn how to customize the emails sent when applicants are qualified or declined.

This feature is available on Pro Plans.

Application confirmation emails

When a volunteer is qualified for an application, Timecounts will automatically send them a confirmation email letting them know they've been approved.

By default, this email includes a button directing volunteers back to your Hub so they can begin signing up for opportunities.

To customize the email, go to Settings > Email Templates and create a template. Once saved, open the application, go to the Details tab, and select your template under Confirmation Email.


If you prefer not to send confirmation emails, uncheck the confirmation email option on the application's Details page and click Save.

Application decline emails

Decline emails are disabled by default.

If you'd like to notify applicants that they were not selected, create an email template and attach it to the Declined Email setting on the application's Details page.


We recommend including a thoughtful message and any relevant next steps for the volunteer.
