Archiving or deleting an application

Learn the difference between archiving and deleting applications and when to use each option.

When should I archive instead of delete?

If you no longer need an application but want to keep its history and records, we recommend archiving it. Archived applications can be moved back to Active later if needed and allow you to retain information about the volunteers associated with the application.


Deleting an application permanently removes the application and its associated data and cannot be undone.

Archiving an application

Before archiving an application, you'll need to remove any links between the application and positions. When an application is archived, all volunteers associated with it will have their status changed to Archived.


To archive an application, go to the Applications list, click the three-dot menu beside the application, and select Archive Application. You can also archive an application from the dropdown menu in the Open to Signups or Closed to Signups button within the application.


Moving an application back to active

Archived applications can be moved back to Active at any time. To reactivate an application, open the Archived applications list across the top, click the three-dot menu beside the application, and select Move to Active.

Any positions that were previously unlinked will need to be reconnected manually and you will need to also move volunteer back into the qualified state.


Deleting an application

If you're certain an application is no longer needed, you can permanently delete it.

To delete an application, go to the Applications list, click the three-dot menu beside the application, and select Delete.

Warning: Deleting an application permanently removes the application and all associated data. This action cannot be undone.
