What is Join Date?
Join Date is an automatically calculated date that records when a volunteer was first made Active in your organization’s Directory. It is not the date they created their Timecounts account, signed up with your organization, submitted a form, or were imported into Timecounts.
How is Join Date calculated?
Timecounts automatically sets a volunteer’s Join Date the first time they move into the Active view of the Directory.
How and when this happens depends on how your organization manages new volunteers. If you utilize the onboarding process, their Join Date will be when an admin moves them to Active. If volunteers are automatically approved, or your organization does not require onboarding, they become Active when they first sign up via your hub.
For example, if a volunteer signs up on March 3 but is not approved and moved to Active until March 10, their Join Date will be March 10. This means a volunteer can already exist in the Onboarding view of your Directory before they have a Join Date. It is not based on when they created their Timecounts account or first appeared in your Directory.
How is Join Date different from other dates?
Depending on how they entered your organization, a volunteer may have signed up, submitted a form, or been imported before their Join Date. These dates are recorded separately because they represent different actions. Join Date specifically represents when your organization first made the volunteer Active.
How do I change a volunteer's Join Date?
Join Date is automatically calculated by Timecounts, but you can update it manually if your organization wants to record a different date.
From the Active view of the Directory, click the volunteer’s name to open their profile card. Click Edit, update the Join Date field, then click Save.
How do I display Join Date in the Directory?
You can add Join Date as a column in the Active view of your Directory to see the date for each volunteer. Go to the last column and click Edit Columns. Find Join Date in the dropdown and select the checkbox to add it to your Directory.
How do I filter volunteers by Join Date?
You can use Join Date to find volunteers based on when they became Active.
Open the Directory, click the Filter icon, and choose Join Date from the dropdown options.
Select the date criteria you want to use to narrow down your volunteer list.
For example, you could use Join Date to find newer volunteers, volunteers who joined during a particular period, or groups based on how long they have been with your organization.
