How email usage and credits work in Timecounts

Learn which emails are unlimited, how your monthly allowance works, and how to send more when you need to.


Two types of emails in Timecounts

Automated emails — unlimited
Emails Timecounts sends automatically based on volunteer activity, such as signup confirmations and shift reminders.

Messages you send — use your monthly allowance
Messages sent through Timecounts, including individual messages, replies to volunteers, event invitations, available shift announcements and messages sent in bulk.

This allows us to keep essential automated emails unlimited, while accounting for the additional email each organization sends through Timecounts.

Which automated emails are unlimited?

Automated emails are triggered by an action in Timecounts, such as a volunteer signing up for a shift or an upcoming shift reminder. This includes signup confirmations, shift reminders, welcome emails, schedule updates and other automated notifications triggered by volunteer activity.

These emails are always unlimited because we never want a volunteer to miss an important update about a shift, event or other commitment. They'll continue to be sent even if your organization has reached its monthly email allowance.

Which emails count toward my monthly allowance?

Any message that you or another admin compose and manually send through Timecounts counts toward your monthly email allowance. This includes individual messages, replies to volunteers, event invitations, available shift announcements and messages sent in bulk.

Each email sent counts as one email. If you send one message to 50 volunteers, that counts as 50 emails. If you send five separate messages to the same volunteer, that counts as five emails.

How many emails are included with my plan?

Every paid Timecounts plan includes a monthly email allowance.

Free — 100 emails per month
Grow — 2,500 emails per month
Pro — 5,000 emails per month

Your allowance resets each month.

Most organizations will find this is more than enough for their regular volunteer communication. If you do need more, you can add email credits at any time.

Why is there a monthly email allowance?

Sending email has a real cost, and the amount organizations send through Timecounts can vary considerably. We want to keep our plans accessible without building the cost of unusually high email usage into everyone's subscription.

That's why each paid plan includes a monthly email allowance designed to cover the regular communication needs of most organizations.

If your organization sends more, or you have particularly busy periods throughout the year, you can simply add email credits to your Email Reserve. There's no need to change plans, and unused credits never expire.

How do I check my email usage?

Select Message Usage from your Inbox to see how many emails you've used, when your monthly allowance resets and how many emails you have available in your Email Reserve.

You can also view your usage from Settings > Billing.

How do email credits work?

Email credits give you additional emails when you've reached the monthly allowance included with your plan. Purchased credits are added to your Email Reserve and never expire. Timecounts always uses your monthly allowance first. If you reach your allowance, we'll automatically begin using credits from your Email Reserve.

  • 10,000 email credits — $25 USD

  • 25,000 email credits — $50 USD

  • 50,000 email credits — $100 USD

How do I add email credits?

The Account Owner can purchase additional email credits from Settings > Billing by selecting Add Email Credits. Choose the number of credits you'd like to add and they'll be added to your Email Reserve. Email credits never expire, so you can purchase them in advance and keep them in reserve for busier periods. If you're an admin but not the Account Owner, you'll need to ask your Account Owner to purchase additional credits.

What happens if I reach my monthly allowance?

If you've reached your monthly allowance, Timecounts will automatically use any email credits you have available in your Email Reserve. If you don't have enough credits available to send your message, we'll let you know before it's sent. You can add email credits and continue sending right away, or wait until your monthly allowance resets. Your automated emails aren't affected and will continue to be sent.
