September & October 2026 Product Update

Celebrate volunteers with Milestones, send Requirement renewal emails, and more.

Volunteers rarely ask to be thanked, but they always notice when they are. For a lot of you, keeping track of who just hit 50 hours, who’s been with you for five years or whose birthday is next week has lived in a spreadsheet, on a sticky note or in your head. This update brings those moments into Timecounts with Milestones, one of the features you’ve asked for most.

We’ve also taken a fresh look at the parts of Timecounts you use every day. Many of these changes came straight from your feedback, so thank you for telling us what’s working and what isn’t.

Checklist now has Requirements and Milestones

For organizations on Pro, the Checklist on each volunteer’s profile card will now have two sections. Requirements, which you might know as checklist items, are the things volunteers need to complete or keep current, like an orientation or a background check. Milestones are new, and they’re all about recognizing what volunteers give.

Celebrate volunteers with Milestones

Think of a volunteer’s first 25 hours, their 100th shift or their first year with your organization. Timecounts can now spot these moments and record them automatically, based on hours, shifts, events or time with you. You can also award a milestone manually when someone goes above and beyond, or set up a monthly or yearly leaderboard to shine a light on your most active volunteers. Best of all, each milestone can send the volunteer an email automatically, so their contribution never goes unnoticed.

Dropdown for choosing how a milestone is reached: activities volunteered, awarded manually, birthday, hours volunteered, leaderboard or volunteer anniversary

Send birthday emails automatically

A birthday note is a small gesture that volunteers remember. Set up a birthday milestone and Timecounts will send your message on the day, the day before or at the start of their birthday month, so you never have to keep a calendar of everyone’s birthdays.

Let volunteers know when Requirements are expiring

Background checks and first aid certificates don’t last forever, and chasing renewals one person at a time adds up. You can now send volunteers an automatic email when a requirement is about to expire. You choose when it goes out and what it says, so volunteers know exactly what to do next and you’re not left following up one by one.

Additional actions on a requirement, set to send a renewal email before it expires

Emails and tags are the first automatic actions for Milestones and Requirements, and they cover most of what organizations have asked for. We’ll keep adding more, so once you’ve tried them, let us know what you’d like to see next.

Updated checklist filters

In the Directory, the Checklist filter is now two filters: Requirements and Milestones. You can pull up everyone whose first aid is complete, or everyone who’s reached 100 hours, in a couple of clicks.

Later this month, look out for more filter options and a refreshed filter design. We’ve been testing filters carefully so you can trust exactly who shows up in your results.

Applications are now Qualifications

In the admin main navigation, Applications is now called Qualifications. How it works hasn’t changed. Whether you use it to decide who can sign up for certain roles, to recruit and screen new applicants, or both, you’ll find all the same options when you open a qualification, including its application page.

Volunteers will still see Applications on your Hub by default, and you can rename it if you’d like.

Dropdowns you can search

Dropdown menus now have search, so you can start typing instead of scrolling through a long list. The options read more naturally too. When you restrict an event or position, you’ll see wording like “Qualified for Ushers”.

See where qualifications are used

Before you change a qualification, it helps to know what depends on it. In your Qualifications list, a link icon now shows how many places each one is used to restrict signups. Hover over it to see how many positions or events it’s linked to.

A tidier main navigation and directory UI

As this update rolls out, you’ll notice the admin main navigation has been reorganized, with related features grouped together and Directory and Inbox swapping places. We’ve also removed the vertical lines in tables like Directory and Track, so your volunteer lists feel calmer and lighter to read. Headings and column titles are now darker too, as part of our ongoing work to make Timecounts accessible to everyone.

Tip: Need more room? Use the arrow at the bottom of the main navigation to collapse it.

A fresh look for profile and shift cards

The biggest change to the profile card is where the icons sit. They used to run down the left side and now sit in a single row across the top, leaving more room for volunteer details. Hover over any icon to see what it opens. You’ll also notice a soft blush header and rounded corners, and as you scroll, the header shrinks so even more fits on screen. When you open a profile from the Directory, the volunteer’s row is highlighted in the same blush, so it’s always clear whose card you’re looking at.

The shift card got a similar refresh. Its header now picks up the colour of the position, so it matches the shift you clicked, and the progress bar now reads “2 of 5 spots” so you can see at a glance how many are filled.

A couple of other changes

  • Schedule day view: we’ve removed the Day option from schedules for now, since it wasn’t getting much use. We’re working on something better.

  • Old Availability field: retired on September 30, as mentioned in our last update. If you still need your old responses moved over, contact Customer Support.

Thank you for everything you do for your volunteers. We hope Milestones helps you say thank you a little more often.
