Celebrate volunteers on their birthday
Send volunteers a birthday message without having to remember each date or email everyone individually. Set up a Birthday milestone once, and Timecounts will send your email automatically each year.
Birthdays are set up under Milestones to keep these automations together. They won’t appear as a reached milestone on a volunteer’s profile card.
Before you start
You’ll need two things: your volunteers’ dates of birth and an email template for your birthday message.
Birthday emails use the Date of Birth profile field. Add it to a form for volunteers to complete, or enter it yourself on their profile in the Directory. Use Directory filters to find anyone missing this information.
Create your birthday email under Settings → Email Templates. Keep it warm and personal, with a small image or a relevant link if you like. The template will be used each year, so avoid mentioning a specific age or year. Save it so it’s ready to attach when you set up the milestone.
Set up the Birthday milestone
Go to Settings → Checklist, open the Milestones tab and select Add Milestone. Give it a name, such as “Birthday”. Under How is this milestone reached?, choose Birthday, then choose when to send the email:
On the volunteer’s birthday
The day before their birthday
On the first day of their birthday month
Under Send a birthday email every year, choose your birthday email template, then select Save. There’s no default message, so you can make it sound like your organization.
Good to know
Birthday emails only go to volunteers with Active status and are sent based on your organization’s time zone. Each volunteer receives one email per birthday. Emails aren’t sent for birthdays that have already passed, so volunteers whose birthday has passed this year will receive their first email next year. If you correct a volunteer’s date of birth, Timecounts will use the updated date.
Change or turn off birthday emails
To change when the email sends or which template it uses, go to Settings → Checklist → Milestones, hover over the Birthday milestone and select the pencil icon. To stop sending birthday emails, select the trash icon to delete the milestone. Birthdays aren’t added to volunteer profiles, so nothing else is removed.
