Exporting volunteer data
If you're looking to export profile information for your volunteers, you can do this from the Directory.
If you only need to export a specific group of volunteers, click the Filter icon to narrow your list, then use the Select all checkbox and click Export.
To export everyone shown in the current Directory view, use the Select all checkbox, choose All from the dropdown, then click Export. If you need to export volunteers from another Directory view, such as Onboarding, Inactive, or Banned, switch to that view and run a separate export.
Before the export is generated, you'll be able to choose which profile fields to include.
Before your export is generated, you'll be asked which profile fields you want to include. This lets you create a volunteer list with only the information you need.
Exporting schedules and event with shifts
To export from a schedule, open the schedule you want to export and click the Export icon. From the Shifts view, the export option is located in the three-dot menu.
To export from an event with shifts, open the event you want to export and click the Export icon.
Shift-based activities include two export options: one focused on volunteers and one focused on shifts.
Volunteer List Export
The Volunteer List export shows each volunteer alongside the shifts they're scheduled for. This export is ideal when you need a volunteer list for printing, sharing with your team, or manual check-ins.
You can select the exact time frame and status of volunteers you wish to export.
You export all shifts or narrow down to a specific roles or locations.
You can also include volunteer profile fields, such as t-shirt size or emergency contact information, so everything you need is included in a single export.
Shift List
The Shift List export focuses on the shifts themselves rather than individual volunteers. It includes each shift along with the number of volunteer spots that have been filled, making it useful for reviewing staffing levels or printing a shift summary.
You can select from two different formats: Position or Date.
All exports will be sent to the email associated with your user login within 10 minutes.
Exporting form responses
If you're looking to export everything volunteers submitted through a form, including both profile fields and any additional fields, you can do this from the Form Builder.
Open the form you wish to export, then select the Responses tab. To export specific responses, select the volunteers you want and click Export. To export every response, use the Select all checkbox, then click Export.

If you only need volunteer profile information, it's usually better to export from the Directory, where you can choose exactly which profile fields to include. The Responses export is based on form submissions rather than volunteers, so the same volunteer may appear more than once if they've submitted the form for different opportunities or at different times. Each row represents a separate submission and includes its submission date.
Exporting events and repeating events
If you're looking to export volunteers from an event or repeating event, open the event and select the Signups tab, then click Export.
For repeating events, exports are generated one date at a time. Before exporting, switch to the event date you wish to export.
From the Export Event window, choose which signup statuses you'd like to include.
You can also include volunteer profile fields, such as t-shirt size or emergency contact information, in the export. Once you click Export, a CSV will be sent to your email.
Exporting reports
Every report in Timecounts includes an Export button in the top right corner. Choose the date range or filters you need, then click Export to have the report sent to your email.
Downloading and printing exports
All exports are generated as CSV files and emailed to you, usually within 10 minutes.
CSV is a standard spreadsheet format that can be opened in Microsoft Excel, Google Sheets, Apple Numbers, and most spreadsheet applications. Once you've opened the file, you can sort or edit the information, customize the layout, and print exactly what you need.
Why doesn't Timecounts export PDFs?
Every organization has different printing needs. Exporting as CSV gives you complete control over which columns to include, how the information is arranged, and how it prints.
Why is information missing from my export?
Directory and Schedule exports only include profile field data. If information is missing, first check that the form used to collect it is using profile fields.
Form response exports include both profile fields and any additional fields collected on the form, making them the best option if you need a complete copy of a volunteer's responses.
