Build a Shift Schedule

Create positions, add shifts, and publish.

Updated over a week ago

If you are looking at an empty shift schedule, and wondering how to get started building out your schedule with shifts, this is the article for you.

Add Positions

The shifts view of the schedule works a little like a grid where you can click and add your shifts. Click the 'Manage Positions' button to start adding your positions.

Press 'Add New' to create a new position.

Start typing the name of the position and select from the dropdown. If you've used the position previously or it's in your Positions List in Settings, it should appear in the dropdown as you type.

You can give each position its own color in the schedule by clicking the circle to the right. This is only visible to organizers, but it's a helpful way to group different locations, position types, and departments on the schedule. Or just what color you prefer to look at regularly.

Your position will require a location. You may wish to add a description or link an application to restrict shifts for this position to only qualified volunteers. Once you add your positions, you can always come back to edit using the 'Manage Positions' button.

Note: If you want to reorder how positions appear in your schedule, use the drag icon to the left of the Position and move up and down. It will update the schedule order.

Add Shifts

Now that you've created positions in the schedule, you're ready to start adding shifts. There are a couple of ways to add shifts:

Use the + Add Shifts button top left corner to start adding shifts. This will take the longest time to create your shifts, but it's there if you prefer this basic option.

Clicking into the schedule is the quickest way to add shifts. Switch to the 'All' view which will display the positions you just created in the white column of your schedule. Then move your cursor over the row and into the date you wish to add a shift, you will see a way to click into the schedule.

Shift Blocks can also make it easy to add shifts to your schedule. Learn more about how to use Shift Blocks.

Once you've built out your schedule for the week, you can Copy Shifts to future weeks and then Publish and Notify your schedule for volunteers.
