How Checklist helps you manage volunteers

When you have several things to track for each volunteer, keeping everything in emails, spreadsheets, or memory can make it difficult to know what needs attention. Checklist gives your team a shared record of volunteer progress and helps you build a consistent process for follow-up and recognition. You choose what matters to your organization, then add reminders and actions to handle some of the work automatically.

What are requirements and milestones?

Checklist includes two kinds of items: Requirements and Milestones. Each tracks volunteer progress in a different way.

Requirements help you track what volunteers need to complete, such as training, a signed waiver, or a background check. These are often part of onboarding or screening applicants. You mark requirements complete on the volunteer’s profile, although a Checkr background check can be marked complete automatically. Requirements can be completed once or set to expire when renewal is needed.

Milestones help you recognize volunteer achievements, such as reaching 100 hours or volunteering with your organization for a year. You can set milestones to be achieved automatically based on volunteer activity, or award them manually to recognize contributions that numbers don’t capture, such as a volunteer going above and beyond.

Which one should I use?

A simple way to decide: if you'd chase a volunteer for it, it's a requirement. If you'd celebrate it, it's a milestone.

Set up your Checklist

Go to Settings → Checklist to customize Requirements and Milestones for your organization. Use the Requirements tab to add requirements and set expiry rules, and the Milestones tab to define achievements. You can add optional actions to either, such as emailing or tagging a volunteer.
