Managing automated Application emails

Choose whether volunteers receive an automated email when they are marked as Qualified or Declined, and learn how to add a custom message.

Qualified email

The Qualified email is turned on by default. When a volunteer is qualified for an Application, Timecounts sends them a standard email letting them know and directing them to your Hub to sign up for available opportunities.

Depending on how the Application is being used, this experience may need to be adjusted. Attach an Email Template to explain what volunteers now have access to and what they should do next. If there are no Shifts available yet or they will be contacted separately, turn off the automated email using the checkbox.

Declined email

Volunteers are not automatically emailed when they are declined for an Application. This email is disabled by default because the outcome may require a more personal response.

If an automated email is appropriate, enable it using the checkbox. Attach an Email Template to provide a thoughtful message explaining the outcome and any relevant next steps.

Choose when emails are sent and add a custom message

Open the Application and go to Details. Under Qualified Email or Declined Email, use the checkbox to choose whether the automated email is sent.

To add your own message, first create an Email Template under Settings > Email Templates. Return to the Application’s Details tab and select the template from the corresponding menu. If No Template is selected, the default email will be sent without a custom message.


Remember to click Save after making any changes.
