Run a Background Check with Checkr

How to order a background check for a volunteer in Timecounts.

If your organization has completed the integration with Checkr, you're now ready to run background checks for individual volunteers.

Before doing so, Pro Plan users should make sure the "Background check with Checkr" option is enabled in the Checklist. This ensures that expiration dates are automatically tracked, and the checklist item will be marked as complete once the background check is cleared for the volunteer.

How to run a background check for a volunteer

Go to the Directory and click on the name of the volunteer to open the profile card, or open the profile card wherever you are in Timecounts and click on the bottom tab of the profile for Checkr. Next click the 'Run Check' button top right corner.

This will open a popup where you can invite a volunteer to begin the background check process. If available, Timecounts will automatically pre-fill the volunteer’s contact details from your database and hide those fields in the popup to save you time.

Important Notes:

  • The phone number must be at least 10 digits long. Invalid formats will disable the Submit button.

  • If the city or country provided is invalid, the phone field will be hidden to avoid inconsistent data.

Once all required fields are completed, click Submit to start the process. The volunteer will then be emailed by Checkr to securely provide any additional information needed to complete the background check.

You'll be returned to the Profile Card, where you can view the status of the background check. It may take a few moments to refresh, and the status should initially appear as Invitation Pending.



Background check report statuses

As the volunteer responds and the background check progresses, the status may update to Pending, along with additional details shown directly in Timecounts. You can also click the View button to open your Checkr dashboard for a more detailed view.

Complete status

The report or searches have finished processing.

Clear status

Checkr found nothing out of the ordinary for this person. Their background check status will be automatically set to clear.

Consider status

The report has at least one record that the organization may want to review.
