How to make changes to a shift after it's been created.

Why edit shifts?

There are several reasons you might need to edit a shift, and while they may seem obvious, let’s go over them:

  • You need to change the time of the shift.

  • You need to adjust the number of available spots—increasing or decreasing.

  • You want to manage the waitlist by turning it on or off.

  • You need to change the shift location.

  • Or, you may want to delete the shift entirely.

Steps to edit a shift.

To edit, click on the shift you wish to modify from the Shifts view in the schedule. This will open the shift card, where you can press the Edit Shift button.

This will open the Edit Shift popup, where you can make changes and press Save. Be sure to review the types of changes and their potential impact outlined below.


Editing the date of a shift.

You have two options for changing the shift date:

  • Follow the steps above to edit the shift manually or

  • Simply drag the shift to a new day on the calendar, and it will automatically update.

If volunteers are already assigned to the shift, a popup will appear, allowing you to send a confirmation email to notify them of the date change.

Editing the time of a shift

Adjust the times as needed from the Edit Shift view and press Save. If volunteers are already assigned to this shift, a popup will appear, giving you the option to notify them of the time change.

Editing the number of spots

You can adjust the number of available spots from the Edit Shift view. However, you cannot reduce the spots below the number of already confirmed volunteers. If you reduce the spots so that all are filled and there is no waitlist, the shift will be hidden from new signups unless a volunteer cancels. Changing the number of spots does not automatically notify volunteers.

Editing the location of a shift.

To change the location of a single shift, ensure that a position has been created under Manage Positions in the schedule. You can update the location in two ways:

  • Option 1: Drag the shift to the new position on the calendar. If no shifts are scheduled at the new location, ensure you view All Positions. The shift location will update automatically.

  • Option 2: Click on the shift to open the Edit Shift view. Click the arrow to switch to a different position in the first field, then press Save.

In both cases, if volunteers are assigned to the shift, a popup will appear, giving you the option to notify them of the change.

Bulk change shift locations.

If you want to change the location for all shifts associated with a specific position, you can do so from the Manage Positions modal. When you update the location here, it will automatically apply to all shifts under that position. Be mindful that this change will affect all existing shifts for that position.

Turning the shift waitlist on or off.

To edit the waitlist for a specific shift, go to the Edit Shift view, check or uncheck the Waitlist box, and press Save. If volunteers are already on the waitlist, their status will remain, but no new volunteers can join. You can also manage general waitlist settings in Settings > Preferences.


Deleting or cancelling the shift.

To delete or cancel a shift, go to the Edit Shift view and press the Delete button. If volunteers are assigned to the shift, a popup will appear asking if you want to send a cancellation email to notify them.
