What is a segment, and how is it used?

Segments are pre-established lists of volunteers that make sending targeted emails to specific groups easy without filtering the Directory each time. This feature is particularly helpful if you regularly communicate with a particular list of volunteers, such as volunteers with a Tag, everyone Qualified for an application, or volunteers that appear as part of a Saved Search. Events and Schedules also use Segments to simplify sending messages—allowing you, for example, to quickly email everyone scheduled today at a specific location or volunteers assigned to a particular position. Segments save time and help organizers ensure that messages are relevant and reach the right people, improving communication and organization.

Why segments matter.

We created segments at Timecounts because we know your volunteers’ attention is important. Sending targeted emails to the right people—those who can make a real difference for your organization—will have a bigger impact. Plus, your volunteers will appreciate the personal touch way more than getting another generic email blast.

Creating a segment.

To use segments, start by creating a New Message. In the recipient selection view, use the radial buttons to switch from "Add Recipients" to "Create a Segment."


Creating a Segment defaults to Active Volunteers, which includes all the volunteers in your Directory. This is a quick way to send a message to everyone without selecting all using the checkbox. There are also other options for segments, such as everyone with a specific tag or those who are qualified.

Managing segments with multiple criteria.

If you'd like to combine multiple segments to create a recipients list, making a Saved Search first is a smart idea. This saved filter combination works dynamically, so any volunteers in the Directory who meet the criteria will be counted. It’s an easy way to create more complex segments without applying the same filters in the Directory every time you send a message manually.
