Why copy shifts
Many organizations run ongoing schedules with the same shifts repeating each week or at regular intervals. Copying shifts lets you quickly extend that schedule to future dates instead of recreating each shift individually, saving your team time each month.
Before you begin
First, create your Positions and add the Shifts you want to use as the starting point for your schedule. Many organizations begin by setting up one typical week. Once those Shifts are in place, you can copy them to future dates.
How to copy shifts
Navigate to the week in your schedule that you want to copy. Click the Copy Schedule icon in the toolbar.
This will open a popup allowing you to copy your schedule to future weeks. You can choose to copy specific positions or select all positions.
The next screen will show 12 weeks that you can copy to. Once you press copy, please give it a few minutes to populate as it's moving over a lot of data, and our system cross-checks.
Planning your Schedule
We recommend publishing no more than three months of your Schedule at a time. Publishing too far in advance can lead to more cancellations and make it harder for volunteers to find the Shifts they want when signing up.
You can copy up to 12 weeks at a time. If you need to schedule further ahead, navigate to the last week containing Shifts and repeat the process.
You can also return to any previous week in the Schedule and copy its Shifts to future dates. This is helpful when you want to repeat the Shifts from a particular event or program, even if they aren’t part of your regular weekly schedule.
