Publishing a Shift Schedule

Learn how to publish shifts, change published dates and unpublish a schedule.

Shift schedules allow you to add shifts to an ongoing calendar. As such, this requires you to decide which dates on the schedule you wish to make available for volunteer signups.

Published vs Not-Published Shifts

Shifts that appear in your calendar as white with a line of color are not yet published. When the shift is a solid colour that means it's published.

Publish a Schedule

Once you have added shifts to your schedule and are ready to make this available for signup, click the publish button top right corner.

This will open up a modal that will let you select the start and end times of your schedule that you wish to make available.

Note: All schedules only have one publishing window.

Unpublish a Schedule

To hide shifts or stop signups you can unpublish the schedule. Click the arrow next to the Published button top right and it will reveal a dropdown with a button to 'Unpublish'.

Unpublishing does not impact volunteers already associated with the shifts, it simply hides them from view until you are ready to Publish again.

Change Published Dates of a Schedule

Many organizations choose to make new shifts available on a monthly basis. To do this select the 'Change Dates' button and it will open up and let you update the timeframe you wish to Publish.

Notifying Volunteers of New Shifts Available

When you publish or change the dates of a schedule, it gives you the option to also send an email or notify volunteers there are new shifts available. If you do not want this email to go out, simply select 'Do not notify' before publishing the schedule and let volunteers know in your own way they can sign up.

Small organizations may find it useful to email everyone listed in their Directory (this does not include anyone in Onboarding or Inactive views). We do not advise large organizations to blast all volunteers as this may have a negative impact on the volunteer experience if there is nothing for them to sign up for.

If you are on the Advanced or Pro Plans, and use Applications to make shifts available to only Qualified volunteers - this creates a natural target list to keep updated when shifts are available.
