Edit or remove credited volunteer time

Correct volunteer hours, remove credited time, or update a volunteer's participation.

Where to make changes to volunteer time

If the time is still pending, make any changes from Track. Once it's been credited, make changes from the schedule tab of a volunteer's profile card.

For Scheduled Time, don't edit the original shift or event to correct a volunteer's hours. This keeps the original schedule intact while allowing you to update the time the volunteer actually receives credit for.

Edit credited hours

From the Directory, select the volunteer to open their profile card. Go to Schedule → Past, find the record you want to update, and select the edit pencil next to the credited time.

You can adjust the hours, add or update skills, and leave a comment. Once saved, any changes to the hours will be reflected in the volunteer's total time and Reports.


If the time is still Pending in Track, you can make these changes there before crediting it.

Changing the activity name

Once volunteer time appears in Track, the activity name can't be changed. This includes the position or event name for Scheduled Time and Walk-In Time, or the activity selected or entered for Logged Time.

Admins can still edit the hours, add or update skills, and leave a comment.


If the wrong activity is attached to the record, remove it and create a new one with the correct activity. For time submitted by a volunteer, you can ask them to log it again, or use Log Time in Track to credit the correct time on their behalf.

Remove credited time

If time was credited by mistake and the volunteer shouldn't receive any hours for the activity, open their profile card and find the activity under Schedule. Remove the credited time and it will no longer be included in the volunteer's total hours or Reports.

Change a volunteer to No Show

If a volunteer was expected for a scheduled shift or event but didn't attend, their participation should be marked as No Show rather than credited with hours. Open the volunteer's profile card, find the activity under Schedule, and use the edit pencil to change their participation to No Show. Any credited hours will be removed, while the No Show will remain on their profile as part of their attendance history.

Admins can also use the No Show filter in the Directory to find volunteers who have been marked as a No Show and see how many times this has happened.

Making changes before time is credited

If volunteer time is still waiting for review in Track, you don't need to credit it before making a change. Use the edit pencil to adjust the hours, add skills, or leave a comment. You can also use the Status dropdown to approve, decline, cancel, or mark Scheduled Time as a No Show. Once you've taken action, the volunteer's time and Reports will reflect the final credited record.
